How to Prepare Your Car for State-to-State Auto Transport

Shipping a car from one state to another can save time and reduce the effort involved in a long-distance move. Whether you are relocating, purchasing a vehicle from another state, or sending a car to a family member, preparing your vehicle properly helps make the transportation process more organized.

Before your shipment begins, take time to review the booking details, prepare your vehicle, and document its condition.

Confirm Your Shipping Details

Start by confirming the pickup and delivery addresses, preferred dates, vehicle information, and selected transportation service.

Verify the vehicle’s make, model, year, and condition. If it has modifications, oversized tires, roof accessories, low ground clearance, or mechanical problems, share these details with your transport provider.

Discuss whether open or enclosed transport is more suitable for your vehicle. Open transport is generally a more economical option for standard vehicles, while enclosed transport offers additional protection from weather and road debris.

Confirm the estimated pickup and delivery windows, payment terms, cancellation policy, and any applicable additional charges before finalizing your booking.

Clean Your Vehicle

Washing your car before transport makes it easier to identify existing scratches, dents, and other visible damage during inspection.

You do not need to make the vehicle look brand-new. The purpose is to establish a clear record of its condition before shipping.

Clean the exterior and remove loose items from the cabin. If possible, photograph the vehicle from the front, rear, sides, and corners. Take close-up photographs of any existing damage.

Keep these photographs until the shipment is complete and you have finished the delivery inspection.

Remove Personal Belongings

Remove luggage, electronics, valuables, important documents, and loose objects from the vehicle. Personal belongings may not be covered by the carrier’s cargo insurance and can create safety or liability issues.

Check the trunk, glove compartment, door pockets, center console, and other storage spaces. Follow the transport provider’s instructions about whether any items may remain inside the vehicle.

Remove toll tags or take appropriate steps to prevent unintended toll charges. Remove detachable accessories when necessary and ensure that any remaining accessories are secure.

Check the Fuel Level and Vehicle Condition

Follow your provider’s instructions for the appropriate fuel level. Carriers commonly request that the tank be kept at a low but sufficient level for loading and unloading.

Check for fluid leaks and tell the provider about any known mechanical issues. If the vehicle is inoperable, disclose that before booking because special loading arrangements may be needed.

Make sure the battery is adequately charged if required for loading, the tires are properly inflated, and the parking brake and steering function as expected.

If your vehicle has an alarm system, discuss how to prevent it from activating during transit.

Prepare for Pickup Day

Keep your booking confirmation and contact information accessible. Ensure someone authorized to release the vehicle is available at the scheduled pickup location.

The pickup area should be accessible and safe for the driver. If a large carrier cannot reach your address because of low branches, narrow roads, weight restrictions, or limited turning space, arrange an alternative meeting point.

During the inspection, review the vehicle’s condition report carefully. Make sure existing damage is recorded and keep a copy of the completed documentation.

Understand Insurance and Shipping Terms

Before the vehicle is loaded, ask about the carrier’s cargo insurance, coverage limits, exclusions, and claims procedures. Request clarification about the responsibilities of the parties involved in the shipment.

Do not assume every type of damage or personal belonging is covered. Review the applicable documentation and keep copies of the agreement and payment records.

At delivery, inspect the vehicle before completing the handover. If you identify possible damage, document it with photographs and notify the appropriate party promptly in accordance with the applicable procedures.

Plan for Delivery

Keep your phone available during the expected delivery window. Make sure the delivery location is accessible and that an authorized recipient can inspect and accept the vehicle.

Delivery timing can vary because of weather, traffic, route conditions, and carrier schedules. Maintain reasonable flexibility and communicate promptly if your availability changes.
